The Party Marquee, Ralphs 


Dear guest the following are terms and conditions for group stays at Ralph’s.

Please read carefully as the return of £200 terms/damage waiver depends on all terms to be met. The Room booking price will be quoted and agreed upon by email.

  • A credit card is also required to hold, and additional damage over this £200 and may be charged to the card.

  • Cost includes electricity, heating and staff are on-site should assistance be required.

  • Includes private use of Hot tub and private use of the rear separate building at Ralphs.

  • Only approved services and suppliers mentioned on our website are permitted unless otherwise agreed. Please do not book without prior discussion with Lynne. 

  • Max 7 rooms sleeping max 19. Smaller groups may not have access to all bedrooms at the rear, the quote is based on full occupancy per room unless otherwise agreed by email.

  • A Bar with a fridge and freezer is supplied for you to self-stock.

  • Check in is from 2pm and set up can be from 12.30pm only.

  • Breakfast will be served buffet style in the Marquee, hot bacon sausage fresh baps from the village bakery, freshly baked on-site hot croissants, granola, Greek yoghurt berry coulis, tea, coffee juice. Dietary requirements must be discussed in advance.

  • We do not supply ice.

  • No kitchen facilities are available.

  • Live music or entertainment must be agreed upon by management. Strictly one piece. This also must be followed by a phone call from the entertainment company to discuss arrangements on site. Live music must be at a reduced volume and is strictly prohibited after 10pm.

  • Please note that we recommend that you bring your own Bluetooth speaker, if required.

  • Music volume to be set by staff and music volume will be requested to be reduced further after 12 midnight, Marquee closes strictly at 1.00am when staff will secure marquee.

  • Outdoor seating is fine after 1.00am but no music and no later than 2.00am from 1.00am no music and noise must be kept to a minimum. Marquee will be shut up and powered down 1.00am.

  • Smoking is prohibited indoors and in the marquee, outdoor are at the rear fine but please use bins for butts.

  • There are additional rooms in the main guest house subject to availability and additional price. Marquee is for max 25.

  • No additional non -resident guests are allowed on site unless otherwise agreed by the owner.

  • No additional music speakers are allowed, we provide a blue tooth speaker.

  • Live music or entertainment must be agreed upon by management. Strictly one piece.  This also must be followed by a phone call from the entertainment company to discuss arrangements on site.

  • Live music must be at a reduced volume and is strictly prohibited after 10pm

  • Karaoke is NOT prohibited at any time

  • Strictly NO private buses to the site. Town centre location not feasible. Guests ignoring this will be refused admission with no reimbursement.

  • We reserve the right to ask guests to leave for unacceptable behaviour.

  • The premises are staffed overnight.

  • The marquee must be left tidy and ready for staff to prepare for breakfast, all personal items must be removed, all waste in bins.

  • Bottles must be removed from the site at check out, please bring means to remove. We look after all waste bar bottles.

  • No candles or naked flames

  • Heaters are supplied in Marquee. For Health & Safety reasons and close proximity to both the marquee and the oil tank the stove must NOT be moved.

  • Guests may decorate but regular balloons only strictly NO sparkles or confetti allowed. These will be confiscated on arrival. Balloons with sprinkles will be removed getting these out of our gravel is a big problem!

  • Plastic glasses only and guests must bring their own. Strictly no glass in the hot tub area.

  • Due to gravel and faux grass throughout, we recommend no stilettos, wedges and platform ok.

  • Crisps and dips brought in are fine but please bring bowls and please clean up.

  • We will provide a small bag of logs for the fire pit and gas for the stove in the marquee but request that once/if it runs out additional stock can be purchased from staff but subject to availability so recommended you bring your own.

  • No catering food providers without prior arrangements, we have a preferred supplier but welcome to discuss other options. Take out from the village is fine.

Groups Bookings: Payment Terms and Conditions

  • Bookings are secured by the return of this form, signed confirmation of terms and a 20% non-refundable deposit. If cancelled up to 30 days before, a voucher can be issued to the value for monies paid. No expiry

  • Balance is due 30 days before booking unless otherwise agreed at this point it is non-refundable and non-transferable, however - if a cancellation occurs due to a pandemic full lockdown, we can offer a full refund. If we are allowed to be open but restrictions are placed on group numbers, this is not a valid cancellation reason and monies are non-transferable and non-refundable. For refund of the £200 damage waiver Guests must forward bank details after the event.

  • We also accept Revolut for Euro currency transfer.

  • Any current COVID-19 or other governments guidelines and laws must be adhered to. These are subject to change.

  • If we decide that the marquee cannot be used due to adverse weather conditions, (eg. extreme wind), we will offer a refund in full or a £300 refund to use on rooms only and hot tub. No indoor sitting area on site.

Hot Tub Rules: Induction required before use

  • Strictly NO fake tan. No jumping or diving.

  • Users must shower before entering the Hot Tub. If you have makeup on please wash your neck area before using the Hot Tub.

  • Footwear must be worn to the side steps of the Hot Tub to prevent dirt in hot tub.

  • Guests must bring their own robe slippers and an additional towel for the hot tub. A Room towel is provided for showering.

  • Enter and exit the Hot Tub slowly – surface/steps become slippery and towels must be used on steps to prevent slipping, this will also stop debris entering the Hot Tub (this will be pointed out on induction).

  • Max of 5 persons in the Hot Tub at any time.

  • If a guest has too much alcohol consumed admission will be refused.

  • Use of Hot Tub is NOT permitted after 11 pm due to noise & safety reasons.

  • If the temperature is over 104◦F DO NOT enter.

  • Recommended time of 15mins per session cool off before re-entering.

  • No children under the age of 5 are allowed in the Hot Tub. All children must be supervised by an adult at all times.

  • Plastic glasses only - STRICTLY NO glass, cans or metal items in or around the Hot Tub area.

  • Alcohol in the Hot Tub is not recommended, consumption is at your own risk.

  • NO Smoking in or around the Hot Tub area, please.

  • Do not use soaps\ oils or any other products in the Hot Tub.

  • Please replace the Hot Tub cover when not in use.

  • Please ensure after use that jets and lights are off and the lid is down.

  • Use of the Hot Tub may be refused, and we reserve the right to apply this for health and safety reasons.

  • Health Warning: Pregnant women, the elderly and people suffering from ill health should consult with their doctor before use.

  • The Hot Tub may be unavailable at certain times due to weather conditions or for maintenance procedures. We will refund 10% as compensation should this occur.
